One app for the whole team

0:00 By the end of this video, you will know what a team app should do for your team. You will also have a simple plan for your first week. We will cover the five jobs a team app does: the schedule, the replies, the chat, the changes and the helpers. Then a worked week and a checklist.

What does a team app do?

0:19 A team app gives your team one place to look. The schedule, who is coming, the team conversation and any changes live together. The coach answers each question once, not five times. Group texts are quick, but answers scroll away and new families miss them. A team app keeps the details on the game itself, where they are easy to find.

The schedule and the replies

0:42 Job one is the schedule. Put games, practices and events in one calendar that families open on the web or on their phone. Add the field and the arrival time to each item. Job two is knowing who is coming.

0:57 Ask families to answer Going, Maybe or Can't go for each game and practice. The coach sees the counts and the names before the day, not at the field. Replies and attendance are different things. A reply says who plans to come. Attendance records who actually came: present, late, absent or excused.

Chat, changes and helpers

1:16 Job three is the conversation. Give the team three channels: one for the team, one for the coaches and one for parents. Each channel has a clear job, so the right people talk in the right place. Job four is the change.

1:32 When a game or practice moves, change it once in the schedule. Families find the new time where they already look. Job five is the helpers. Post the jobs each game needs, such as a scorekeeper or the snack table, and let volunteers pick one. Carpools work the same way: drivers offer seats and riders ask for one.

A team's week, worked through

1:53 Here is a typical example. It is illustrative, not a specific club. A team of fourteen players has two practices and one Saturday game this week. By Thursday, eleven players are going, two are maybe and one can't go.

2:08 That makes fourteen. The coach sends one reminder for the game, and both maybes answer Going on Friday. On Saturday, the coach marks attendance. Twelve players are present and one arrives late.

2:22 The player who said Can't go is marked excused. That is fourteen again, and it matches the replies. The team posts three helper spots: one scorekeeper and two at the snack table. Two drivers offer three seats each, six seats in all. Five riders ask for one, so one seat stays free.

Your first-week checklist

2:41 Here is a first-week checklist. Put the season's games and practices in. Check that families are on the team. Open the three channels with a short welcome. Ask for the first replies by a set day.

How Play 2 Earn Sports helps

2:54 Now, how Play 2 Earn Sports helps. The team and club calendar shows games, practices and events on web and phone. Players and parents answer Going, Maybe or Can't go, and coaches see counts and names. Each team has Team, Coaches and Parents channels.

3:11 A coach can send one manual in-app reminder per item, at most once every twenty-four hours. Coaches and club staff mark attendance separately from replies. Clubs post volunteer jobs, and event carpools let drivers offer seats and riders request a ride. When a team event, team game or club game changes, affected families get in-app, email and push notices by default.

3:35 Families can opt out of event email and push. The app installs from the website on iPhone and Android. Tap Turn on notifications; on iPhone, add it to the Home Screen first.

Why a team app beats a scrolling group text

Most teams start with a group text. It is quick, and most families already have it. Over a season, three things go wrong: the answers scroll away, families who join later miss the early messages, and the coach becomes the only reliable source of truth, answering the same "what time is warm-up?" five times.

A team app turns that around. The details live on the game or practice itself, replies are counted for you, and the conversation sits in channels with clear jobs. The coach answers each question once.

The five jobs a team app should do

  1. The schedule: games, practices and events in one calendar

Every game, practice and team event goes into one calendar that families open on the web or on their phone. Put the field, the arrival time and anything to bring on the item itself, not in a separate message. If it is not on the schedule, it is not happening: that one rule ends most "is practice still on?" messages.

  2. Who is coming: replies before the day

Ask families to answer Going, Maybe or Can't go for each game and practice, by a set time. The coach then sees the counts and the names before the day, which is when it matters: there is still time to find a goalkeeper, borrow a player or move a drill plan. Replies and attendance are different things. A reply says who plans to come. Attendance records who actually came: present, late, absent or excused. Keeping both tells you, over a season, whether replies are reliable and who may need a quiet check-in.

  3. Team chat: three channels with clear roles

One big group chat mixes player banter, coach planning and parent logistics. Three channels work better: Team, for players, coaches and any staff helping with the team; Coaches, for lineups and planning; Parents, for coaches and guardians, for logistics and questions. Each channel has one job, so the right people talk in the right place. For young players, add the safe-sport rules your club follows. The team chat app guide walks through them in detail.

  4. Changes: make them once, in the schedule

When a game or practice moves, change it in the schedule first, then mention it in chat if you like. Families find the new time where they already look, and nobody is working from an old screenshot.

  5. Helpers: jobs and carpools

Each game needs a few hands: a scorekeeper, someone at the snack table, a few drivers. Post the jobs for the event and let volunteers pick one. Carpools work the same way: drivers offer seats and riders ask for one. Shared openly, these jobs spread around the team instead of landing on the same two parents.

Worked example

One team's week

Illustrative example, not a specific club.

A team of fourteen players has two practices and one Saturday game this week.

Worked example — one team's week
DayWhat happensNumbers
Monday The schedule shows Tuesday and Thursday practices and the Saturday game, each with the field and arrival time. 3 items
Thursday evening The coach checks Saturday's replies. 11 Going · 2 Maybe · 1 Can't go = 14
Thursday evening The coach sends one reminder for the game. 1 reminder
Friday Both Maybe families answer Going. 13 Going · 1 Can't go = 14
Saturday The coach marks attendance. 12 present · 1 late · 1 excused = 14

The thirteen players who said Going all came (twelve on time, one late), and the one who said Can't go is marked excused. Replies and attendance match, so the coach can trust the replies next week.

Helpers for Saturday. The team posts three helper spots: one scorekeeper and two at the snack table, and all three are taken. Two drivers offer three seats each, six seats in all. Five riders ask for a seat, so one seat stays free.

Checklist

Your team's first week

Checklist — your team's first week

  1. The season's games and practices are in the schedule, each with a field and an arrival time.
  2. Every player's family is on the team, and parents of younger players are linked to their child.
  3. The Team, Coaches and Parents channels are open, each with a short welcome that says what it is for.
  4. Families know the reply rule: answer Going, Maybe or Can't go by a set day before each game.
  5. The first game has its helper jobs posted (scorekeeper, snack table) and a carpool open.
  6. Families have installed the app and turned on notifications.
  7. Families know one rule for changes: the schedule is the source of truth.

Common mistakes

  1. Putting details only in chat. A time in a message scrolls away; a time on the game stays.
  2. Treating replies as attendance. A Going reply is a plan. Mark who came, too.
  3. One channel for everything. Player banter, coach planning and parent logistics each need their own space.
  4. Asking the same two parents. Post helper jobs openly and let people pick.

How Play 2 Earn Sports works for a team

Play 2 Earn Sports is the team app inside a club platform. The same account that runs your team can run every team in the club, with one schedule for every team on shared fields.

  • The schedule

The team and club calendar shows games, practices and events on web and phone. Practices can be created with a location; repeating practices are set up through the club's event tools.

  • Replies

Players and parents answer Going, Maybe or Can't go, and coaches see counts and names. A coach can send one manual in-app reminder per item, at most once every 24 hours. Today, following up with families who have not replied is your team's process; the reminder is there when you need it.

  • Attendance

Coaches and club staff mark attendance (present, late, absent, excused), separately from replies.

  • Team chat

Each team has Team, Coaches and Parents channels. Players, coaches and chat-enabled staff post in Team; coaches post in Coaches; coaches and guardians post in Parents. Guardians can read their child's Team channel but not post there, and club admins can audit read-only.

  • Safe-sport design

A private adult-to-minor chat brings a parent or guardian into the conversation until the player turns 18. Players under 14 can only DM teammates. Messages can be reported or blocked.

  • Changes

When a team event, team game or club game changes, affected families get in-app, email and push notices by default, and they can opt out of event email and push.

  • Helpers

Clubs post volunteer jobs for events, such as scorekeeper or snack table, and team volunteers can take them. Event carpools let drivers offer seats and riders request a ride.

  • On the phone

The app installs from the website on iPhone and Android, not from the app stores. Tap Turn on notifications to get notices on the phone; on iPhone, add it to the Home Screen first. Live data needs a connection.
