A coach's week, in one place
0:00 By the end of this video, you will have a simple weekly routine for coaching one team. It covers practice, availability, the lineup, attendance, stats and messages to families. We will walk through one week, day by day. The admin side fits into about thirty minutes: ten on Sunday, five on Tuesday, five on Thursday and ten on Saturday.
What should a youth coach app do?
0:22 A coach app should answer six questions. When are we on? Who is coming? Who plays where?
0:29 Who came? How did players do? And how do I reach the families?
Sunday: plan the week
0:34 On Sunday, spend ten minutes. Check the calendar for the week's practices and the game. Then write one practice plan you can reuse, with a clear goal for each block. Here is a typical example.
0:47 It is illustrative, not a specific club. A seventy-five minute practice has five blocks. Ten minutes of warm-up, twenty of technique, twenty-five of small-sided games, fifteen of scrimmage and five to cool down. Keep one goal for each block.
1:03 Give the most time to games where each player touches the ball often. Short lines and quick turns keep young players moving. Ask for availability on each practice and game, with one reply-by time. Read the counts to size the session. Then read the names to set the groups and positions.
Tuesday: mark attendance
1:20 After Tuesday's practice, take five minutes to mark attendance: present, late, absent or excused. Over a season, that record shows patterns an RSVP alone does not show.
Thursday: set the lineup
1:34 On Thursday, set Saturday's lineup from the answers. In our example, the roster has twelve players. Eleven are going and one is away. It is a seven-a-side game, so seven start and four wait to come on.
1:48 Share playing time on purpose. Two halves of twenty-five minutes make fifty minutes. Seven players are on the field at once. Shared across eleven players, that is about thirty-two minutes each.
2:01 Write the substitutions before the game, at set minutes. Rotate who starts and who finishes, so no player sits out the same stretch each week.
Saturday: stats and a note home
2:11 After Saturday's game, spend ten minutes. Record a few simple stats your team really uses. Then send families one short note: what went well, and the next date. Keep coaching messages in the team's own spaces, not in personal group chats.
2:28 Write to young players where another adult can see. Keep one space for team news and one for parents.
How Play 2 Earn Sports helps
2:35 Now, how Play 2 Earn Sports helps. Practices can be created with a location, and they show on the team calendar with games and events. Repeating practices are set up through the club's event tools. Players and parents answer Going, Maybe or Can't go, and coaches see the counts and names.
2:54 Coaches and club admins use the same lineup builder. Team sports such as soccer, basketball, baseball, hockey and American football each get their own surface: a pitch, a court, a diamond, a rink or a gridiron. Individual sports get an event-lineup view. Coaches and club staff mark attendance as present, late, absent or excused, separately from RSVPs.
3:20 Teams can keep player stats. Staff entries publish right away. Player-entered stats publish after two teammate confirmations. Each team has Team, Coaches and Parents channels.
3:33 Coaches and guardians post in Parents, and guardians can read their child's Team channel. A private adult-to-minor chat brings a parent or guardian into the conversation until the player turns eighteen.

What should a youth coach app do?
Six questions come up each week. Whatever tool you use, it should answer them quickly.
| Question | What you need |
|---|---|
| When are we on? | One calendar with practices, games and events |
| Who is coming? | Answers from players and parents, with counts and names |
| Who plays where? | A lineup you can set from those answers |
| Who came? | An attendance record, kept separately from the answers |
| How did players do? | A few simple stats |
| How do I reach families? | Team spaces for messages, with safe rules for young players |
The coach's week at a glance
Illustrative example, not a specific club. A team practises on Tuesday and Thursday and plays on Saturday.
| Day | Task | Time |
|---|---|---|
| Sunday | Check the calendar, write one practice plan | 10 minutes |
| Tuesday | Mark attendance after practice | 5 minutes |
| Thursday | Set Saturday's lineup from the answers | 5 minutes |
| Saturday | Record a few stats, send one short note home | 10 minutes |
| Week | 30 minutes |
Sunday
Plan the week
Check the calendar for the week's practices and the game. Then write one practice plan you can reuse and adjust, with one clear goal for each block.
Illustrative example, not a specific club. A 75-minute practice in five blocks:
| Block | Minutes | Goal |
|---|---|---|
| Warm-up | 10 | Moving, ball touches, a quick game |
| Technique | 20 | One skill, many repetitions |
| Small-sided games | 25 | The skill under light pressure, lots of touches |
| Scrimmage | 15 | Play, with one coaching point |
| Cool-down | 5 | Stretch, one thing learned, the next date |
| Total | 75 |
Give the most time to games where each player touches the ball often. Short lines and quick turns keep young players moving. Ask for availability on each practice and game with one reply-by time, so you can size the session; see how to know who is coming before you plan practice.
Tuesday
Mark attendance
Take five minutes after practice. Mark each player present, late, absent or excused. "Excused" is for players who told you in advance. Attendance is not the same as the RSVP: the RSVP is the plan, attendance is what happened. Over a season, the record shows patterns an RSVP alone does not, such as a player drifting away or a night that does not suit families.
Thursday
Set the lineup and plan playing time
Illustrative example, not a specific club.
The roster has 12 players. For Saturday, 11 are going and 1 is away. It is a seven-a-side game with two halves of 25 minutes.
| Step | Working | Result |
|---|---|---|
| Players available | 12 − 1 | 11 |
| Starters and substitutes | 7 on the field + 4 waiting | 11 |
| Game minutes | 2 × 25 | 50 minutes |
| Player-minutes to share | 50 × 7 spots | 350 |
| Fair share each | 350 ÷ 11 | about 32 minutes (31.8) |
Write the substitutions before the game, at set minutes, and rotate who starts and who finishes, so no player sits out the same stretch each week. Check your league's or club's playing-time rules first; many youth programs have one.
Saturday
Stats and a short note home
After the game, take ten minutes. Record a few simple stats your team really uses, rather than everything you could count. Then send families one short note: one thing that went well, and the next date. A short, specific note each week does more than a long one now and then.
Messages that keep young players safe
- Use the team's own spaces, not personal group chats or private messages.
- Write to young players where another adult can see.
- Keep one space for team news and one for parents, so families find what they need.
- Agree quiet hours for non-urgent messages; see late-night parent messages.
Checklist: a coach's week
- Sunday: calendar checked, one practice plan written, availability asked with one reply-by time.
- Tuesday: attendance marked (present, late, absent, excused).
- Thursday: lineup set from the answers, substitutions written, playing time shared.
- Saturday: a few stats recorded, one short note home.
- All messages in team spaces, with another adult able to see.
How Play 2 Earn Sports supports a coach's week
Play 2 Earn Sports is one app for the whole team, and each step of the week has a place in it.
-
Practices on the calendar
Practices can be created with a location, and they show on the team and club calendar with games and events, on web and phone. Repeating practices are set up through the club's event tools.
-
Who is coming
Players and parents answer Going, Maybe or Can't go, and coaches see the counts and the names. A coach can send one manual in-app reminder per item, at most once every 24 hours.
-
One lineup builder
Coaches and club admins use the same lineup builder. Soccer, American football, basketball, baseball, hockey, field hockey, lacrosse, rugby and volleyball get a squad and pitch view; individual sports get an event-lineup view.
-
Attendance
Coaches and club staff mark attendance as present, late, absent or excused, separately from RSVPs.
-
Player stats
Teams can keep player stats. Staff entries publish right away; player-entered stats publish after two teammate confirmations.
-
Team channels
Each team has Team, Coaches and Parents channels. Players, coaches and chat-enabled staff post in Team; coaches post in Coaches; coaches and guardians post in Parents. Guardians can read their child's Team channel. Club admins can audit read-only.
-
Safe-sport rules
A private adult-to-minor chat brings a parent or guardian into the conversation until the player turns 18. Players under 14 can only DM teammates. Messages can be reported or blocked.
-
Players on the roster
Club staff add players to a team and invite players by email; linked guardians and one guardian with several children are supported.
