A baseball week that runs smoothly
0:00 By the end of this video, you will have a simple weekly routine for a baseball or softball team. Game times, who is coming, fair innings, rainouts and family jobs, in one place. We will cover what makes baseball different, a weekly routine, one worked game day, and how Play 2 Earn Sports helps.
What makes a baseball or softball team different
0:22 Baseball and softball live with the weather. A wet forecast can move a game the night before. Diamonds are shared, and the coach plans nine fielding positions and a batting order every game. Pitchers need rest between outings, so many leagues set pitch limits and rest days. Check your league's rules, and write each pitcher's count down after every game.
How do I organize a baseball team each week?
0:44 On Monday, check that the week is on the team calendar. By Wednesday, see who has answered. On Thursday, send one reminder. On Friday, set the batting order and fielding plan.
How to make a fair batting order and fielding plan
0:57 Many youth leagues bat the whole roster in a continuous order. Check your league's rules. Then rotate fielders so bench innings are shared, and nobody sits twice before everyone sits once.
A worked example: one game day
1:08 Here is a typical example. It is illustrative, not a specific club. A youth team has twelve players. Saturday's game starts at ten, and players arrive at nine fifteen to warm up.
1:21 By Wednesday, ten players are going, one is a maybe and one is out. That adds up to twelve. On Thursday, the coach sends one reminder, and the maybe answers: out as well. Ten will play.
1:35 Six innings with nine fielders makes fifty-four spots. Ten players over six innings makes sixty player-innings. Sixty minus fifty-four leaves six bench innings to share. So six players sit one inning each, and four field all six innings.
1:53 Six times five is thirty, and four times six is twenty-four. That makes fifty-four. Next game, a different four play all six. The team parent fills two jobs: scorekeeper and snack table.
2:07 Two drivers offer three seats each: six seats. Four players need a ride, so two seats stay spare.
When rain moves the game
2:14 On Friday, the forecast turns wet, and the game moves to Sunday at two. Change that one game, not the whole schedule. Move the arrival to one fifteen as well. After Sunday's game, the coach marks attendance.
2:29 Nine were present, one was late, and the two who were out are excused. That is twelve again, kept separate from the week's answers.
How Play 2 Earn Sports helps
2:38 Now, how Play 2 Earn Sports helps. The team and club calendar shows games, practices and events on web and phone. Players and parents answer Going, Maybe or Can't go, and coaches see counts and names. A coach can send one manual in-app reminder per item, at most once every twenty-four hours.
2:57 Coaches and club admins use the same lineup builder, with a squad and diamond view. Coaches and club staff mark attendance as present, late, absent or excused. Teams can keep player stats. Staff entries publish right away, and player entries after two teammate confirmations.
3:15 When a team game changes, affected families get in-app, email and push notices by default, and can opt out of event email and push. Clubs post volunteer jobs, such as scorekeeper or snack table, for team volunteers to take. Event carpools let drivers offer seats and riders request a ride. Each team has Team, Coaches and Parents channels.
3:38 Guardians can read their child's Team channel and post in Parents. A private adult-to-minor chat brings in a parent or guardian until the player turns eighteen. Players under fourteen can only message teammates directly. The app installs from the website on iPhone and Android.
3:55 On iPhone, add it to the Home Screen, then tap Turn on notifications. Families can add a single game to Google or Apple Calendar, one game at a time. Coaching one team? Start a free club account for your team at club starter.
4:11 Coaches can join their club through the coach sign-up, and the club approves them. Today, repeating practices are set up through the club's event tools. Post the week, check who is coming, share the innings fairly, and move one game at a time. The full guide is on the page linked in the description.
4:28 Try it with your own diamonds: Starter is free for clubs with up to 10 teams. Thanks for watching.
What makes a baseball or softball team different
- Weather decides a lot. A wet forecast can move a game the night before, and a wet field can close on the day. Families need one place to check.
- Shared diamonds. Diamonds are often shared with other teams and other leagues, so times and fields change across a season.
- Nine positions and a batting order. The coach plans a fielding position for every player in every inning, plus a batting order, each game.
- Pitchers need rest. Many leagues set pitch limits and rest days. Check your league's rules, and write each pitcher's count down after every game.
- Team jobs. Someone keeps score, someone brings snacks, and someone drives. A short list of jobs, filled each week, keeps it fair.
How do I organize a baseball team each week?
- Monday: post the week. Make sure every game and practice is on the team calendar, with the diamond, the start time and the arrival time.
- Wednesday: check answers. See who is going, who is a maybe and who has not answered. Check you have enough players for nine positions, and who can pitch and catch.
- Thursday: one reminder. Send one reminder to anyone who has not answered.
- Friday: set the lineup. Write the batting order and the fielding plan from the players who are going. Fill the scorekeeper and snack table jobs, and match drivers with riders.
- After the game: mark attendance and pitch counts. Record who was present, late, absent or excused, separately from the week's answers. Write each pitcher's count in the scorebook.
How to make a fair batting order and fielding plan
- Bat the whole roster. Many youth leagues use a continuous batting order, so every player bats in turn. Check your league's rules.
- Count the bench innings first. Multiply innings by nine fielders for the fielding spots, and players by innings for the player-innings. The difference is the bench innings to share.
- Nobody sits twice before everyone sits once. Rotate the bench across the season, not just within one game.
- Rotate positions on purpose. Give players time in the infield and the outfield across the season, within your league's rules for pitchers and catchers.
Worked example
One baseball game day
Illustrative example, not a specific club.
A youth team has twelve players. Saturday's game starts at 10:00 a.m., and players arrive at 9:15 a.m. to warm up.
Wednesday: the answers so far.
| Answer | Players |
|---|---|
| Going | 10 |
| Maybe | 1 |
| Out for the weekend | 1 |
| Total | 12 |
Thursday: one reminder. The maybe answers: out as well. Ten players will play.
Friday: the fielding plan. The game is six innings.
| Count | Sum |
|---|---|
| Fielding spots: 6 innings × 9 positions | 54 |
| Player-innings: 10 players × 6 innings | 60 |
| Bench innings to share: 60 − 54 | 6 |
So six players sit one inning each, and four players field all six innings: 6 × 5 = 30, plus 4 × 6 = 24, makes 54, every spot filled. Next game, a different four play all six. All ten bat in a continuous order, where the league's rules allow it.
Friday: team jobs. Two jobs are filled: scorekeeper and snack table. Two drivers offer three seats each, which makes six seats. Four players need a ride, so two seats stay spare.
Friday: rain. The forecast turns wet, and the game moves to Sunday at 2:00 p.m. The coach changes that one game, not the whole schedule, and moves the arrival time to 1:15 p.m. Then the drivers are asked to confirm.
After Sunday's game: attendance.
| Status | Players |
|---|---|
| Present | 9 |
| Late | 1 |
| Excused (the two who were out) | 2 |
| Total | 12 |
Nine present plus one late is the ten who played.

How Play 2 Earn Sports supports a baseball or softball team
Play 2 Earn Sports is the team app for the whole team, inside the same club management software your club can use for every team.
-
One calendar
The team and club calendar shows games, practices and events on web and phone. Practices can be created with a location, so the diamond travels with the event. Today, repeating practices are set up through the club's event tools.
-
Who is coming
Players and parents answer Going, Maybe or Can't go, and coaches see counts and names. A coach can send one manual in-app reminder per item, at most once every 24 hours. Today, that one manual reminder is your team's process; there are no automatic reminders.
-
Lineups
Coaches and club admins use the same lineup builder. Baseball gets a squad view and a view of the diamond. Today, the batting order and the bench rotation are your coach's plan.
-
Attendance
Coaches and club staff mark attendance as present, late, absent or excused, separately from RSVPs.
-
Stats
Teams can keep player stats. Staff entries publish right away; player-entered stats publish after two teammate confirmations. Today, pitch counts are kept in your scorebook.
-
Volunteer jobs and carpools
Clubs post volunteer jobs for events, such as scorekeeper or snack table, and team volunteers can take them. Event carpools let drivers offer seats and riders request a ride. Today, a snack rotation across the season is your team parent's process.
-
When rain moves a game
When a team event, team game or club game changes, affected families get in-app, email and push notices by default, and can opt out of event email and push.
-
Team chat with safe-sport rules
Each team has Team, Coaches and Parents channels. Players, coaches and chat-enabled staff post in Team; coaches post in Coaches; coaches and guardians post in Parents. Guardians can read their child's Team channel but not post there. A private adult-to-minor chat brings a parent or guardian into the conversation until the player turns 18. Players under 14 can only DM teammates. Messages can be reported or blocked. Club admins can audit read-only.
-
Photos and voice notes
Team chat supports photos, short video, GIFs and voice notes, stored privately. Today, there is no team photo album; staff can send documents to team members.
-
Rosters and families
Club staff add players to a team and invite players by email; linked guardians and one guardian with several children are supported. One parent account switches between several children on different teams.
-
On the phone
The app installs from the website on iPhone and Android, not from the app stores. Tap Turn on notifications to get notices on the phone; on iPhone, add it to the Home Screen first. Live data needs a connection.
-
Calendars
Families can add a single game to Google or Apple Calendar with an .ics link. Today, there is no whole-team calendar subscription feed.
Coaches can join their club through the coach sign-up, and the club approves them. Coaching one team on your own? Start a free club account for your team at /club-starter. The club account holds your team, and you coach inside it. Starter is free for clubs with up to 10 teams, and every organization feature is on every plan.
