Referee assigning for youth clubs and leagues
0:00 By the end of this video, you will know how a youth club or league can cover its games with qualified officials. You will see what Play 2 Earn Sports gives you, and how to switch calmly. Here is the plan. What a club or league gets from Play 2 Earn Sports, a short note on Arbiter, five questions to ask, a worked tournament weekend, and switching.
What a club or league gets
0:23 Play 2 Earn Sports is built for youth and amateur clubs and leagues, across eighteen sports. The plans are published, so a board can read the cost before a call. Officials sit on the same schedule as the games. For league games, the league assigns one official per game.
0:39 The picker checks the official's sport, the level the league needs and the days they blocked. The official accepts, declines or hands the game back. Tournament and club games work differently. The host lists them as Open games in the sport.
0:53 Officials claim the ones at or below their level, with up to two claims in any twenty-four hours. Each official has their own view. My matches lists their own games, league and tournament. Open games lists what they can claim.
1:08 They record their days off, and a Match fees page shows what is owed and what has been marked paid. The league or club pays the official directly, and no money moves through Play 2 Earn Sports. When a published, upcoming league game moves, a change notice is queued for any assigned referee with an account. Email and push depend on each account's settings.
Arbiter, in one short note
1:30 Now a short, neutral note. On the eighteenth of October, Arbiter described itself as the connected platform for K-12 sports and activities, with assigning software for officials. Its homepage and assigning page offered a demo booking, with no public pricing page.
Five questions before you switch
1:45 Now five questions to ask before you switch. One: is it built for youth clubs and leagues like yours? Two: are the plans published? Three: do officials sit on the same schedule as the games?
1:58 Four: can a tournament host open games for officials to claim, with fair limits? Five: can each official see their games, their days off and their fee record in one place? Write the answers down.
A worked example: a fifteen-game tournament
2:10 Here is a typical example. It is illustrative, not a specific club. A hockey club hosts a weekend tournament with eight teams in two pools of four. Each pool plays a round robin, then two semifinals and a final.
2:26 Each pool of four plays six games, so two pools play twelve. Add two semifinals and a final, and the weekend has fifteen games. Each game needs one official. On Monday, the club opens the twelve pool games.
2:41 Six officials each claim two, and six times two is twelve. Each has used both claims for the next twenty-four hours. On Wednesday, the semifinals and the final open. Two more officials claim them, one taking two and one taking one.
2:56 Two plus one is three, so all fifteen games are covered. The same club also plays in a league. Those games are assigned by the league, not claimed. One club, two kinds of games, and each official finds their own games in My matches.
3:11 Today, the league assigns the game's referee in Play 2 Earn Sports. Linespersons and other crew roles are a club process. Keep them on your own crew sheet, next to each game's assigned official.
Switching across
3:24 To switch, ask officials to register their own referee accounts, then set the level your league needs. Run one weekend side by side with your current process. Then move the season. League games assigned, tournament and club games claimed, and every official on one schedule.
3:42 The full guide is on the page linked in the description. Try it with your own club or league: Starter is free for clubs with up to 10 teams. Thanks for watching.

Worked example
A fifteen-game hockey tournament
Illustrative example, not a specific club. Officials and levels are made up.
A hockey club hosts a weekend tournament with eight teams in two pools of four. Each pool plays a round robin, then the top teams play two semifinals and a final.
| Stage | Sum | Games |
|---|---|---|
| Pool A round robin | 4 × 3 ÷ 2 | 6 |
| Pool B round robin | 4 × 3 ÷ 2 | 6 |
| Semifinals | 2 | 2 |
| Final | 1 | 1 |
| Total | 6 + 6 + 2 + 1 | 15 |
Each game needs one official.
Monday: the pool games. The club opens the twelve pool games as Open games, at any level. Six officials each claim two (6 × 2 = 12). Each has used both claims for the next 24 hours.
Wednesday: the knockout games. Once the pools are set, the two semifinals and the final open. Two more officials claim them: one takes two, one takes one (2 + 1 = 3). All fifteen games are covered (12 + 3 = 15).
The league season. The same club plays in a league. Those games are assigned by the league, never claimed, and each official finds their league and tournament games in My matches.
Crews. Today, the league assigns the game's referee in Play 2 Earn Sports. Linespersons and other crew roles are a club process: keep them on your own crew sheet, next to each game's assigned official. For hockey specifics, see hockey referee scheduling.
Tournament format note. Tournament formats in Play 2 Earn Sports are round robin, groups (pools) and knockout.

Invite your officials
to register their own referee accounts, then add their sport and the days they cannot work.

-
Name the coordinator
Referee coordinator is one of the league staff roles, with league manager, scheduler and registrar.
-
Set the fee records
Record each game's fee as owed, and mark it paid when the league or club pays. See recording referee fees game by game.
-
Run one weekend side by side
with your current process, then move the season.
