An MMA gym week that fits your mats

0:00 By the end of this video, you will have a plan for your Mixed Martial Arts gym's week. It covers classes by discipline and group, and competition days, and it fits the gym time you really hold. We will cover the inputs, class slots, a worked week, competition days, the checks, and how Play 2 Earn Sports helps.

What makes MMA scheduling different

0:20 A Mixed Martial Arts gym has its own rhythm. Striking, grappling, conditioning and youth classes all share one gym. Two areas, such as the mat and the bag area, can often run at once. The areas and the coaches set the limit, not the clock alone. A competition day is a separate event, with the host's weigh-in, check-in and first bout.

How do I build a martial arts class schedule?

0:42 Start with four inputs. First, the gym hours you hold and the areas you can use at once. Second, your classes by discipline and group, their sizes and their coaches. Third, the season and competition dates you already know.

0:59 Fourth, the dates families are away. Collect these on one form, by one deadline.

Turn gym hours into class slots

1:04 Next, turn gym hours into class slots. A slot is the class plus a short changeover. Keep set-up and takedown inside your booking. Run one class per area at a time.

1:15 Here is a typical example. It is illustrative, not a specific gym. The gym is booked on Monday, Tuesday and Thursday, from five thirty to nine. After fifteen minutes of set-up, there are three one-hour slots, then fifteen minutes of takedown.

1:31 With two areas, the week holds eighteen class slots. The gym runs six class groups. Youth fundamentals, teen striking and conditioning meet twice a week. Adult striking, adult grappling and the competition team meet three times. That is fifteen classes, leaving three spare slots.

Give every class a weekly shape

1:49 Give each class a regular weekly shape: the same area and start time. Put youth classes in the earliest slot. Check that no athlete is booked into two classes at once. Here is a typical week.

2:02 It is illustrative, not a specific gym. Youth fundamentals use the mat on Monday and Thursday at five forty-five. Adult grappling and adult striking share the six forty-five slot on all three evenings. The competition team takes the mat at seven forty-five.

Competition days are their own calendar

2:19 A competition day is its own calendar. The host sets the date, venue, weigh-in and first bout. Many hosts hold the weigh-in the day before. Then plan the morning back from the host's check-in time.

2:31 Put the competition on the club calendar as an event, not a class. Families need the date, the venue, the weigh-in time and the arrival time. Today, entries, matching and the bout order stay with the event host or your association.

Check the draft before you publish

2:46 Before you publish, check the draft. Look class by class: no athlete in two places at once. Look area by area: one class per area at a time. Check that every class has a coach.

3:00 Keep the spare slots for a make-up or a coach change. Then publish once, and tell families where to check the calendar.

How Play 2 Earn Sports helps

3:07 Now, how Play 2 Earn Sports helps. Each class group can be a team in your club account. Practices are created with a location, and repeating practices are set up through the club's event tools. The gym is a venue with weekly windows and date exceptions.

3:23 Athletes and parents answer Going, Maybe or Can't go, and coaches see counts and names. Coaches mark attendance separately, as present, late, absent or excused. Each team has Team, Coaches and Parents channels. For a competition, the lineup builder shows a bout card by weight class.

3:44 When a team event changes, affected families get in-app, email and push notices by default. They can opt out of event email and push. A private chat between an adult and a minor brings in a parent or guardian until the athlete turns eighteen. Players under fourteen can only message teammates directly.

4:03 The app installs from the website on iPhone and Android. Gather the inputs, count the slots, check the draft and publish once. The full guide is on the page linked in the description. Try it with your own gym: Starter is free for clubs with up to 10 teams. Thanks for watching.

What makes a Mixed Martial Arts gym schedule different?

A Mixed Martial Arts gym has its own rhythm. Striking, grappling, conditioning and youth classes all share one gym. Many gyms can run two classes at once, one on the mat and one in the bag area, so the schedule is a grid of slots and areas.

  1. Areas and coaches set the limit. Two areas means two classes at once, but only if two coaches are free.
  2. Disciplines pull in different directions. Grappling needs the mat. Striking can use the bag area. Conditioning can go where there is space.
  3. Competition days sit apart. A competition runs on the host's weigh-in, check-in and first-bout times, often at another venue.

Contact levels and safety rules come from your coaches and your association, not from the schedule.

The four inputs

  1. Gym hours and areas

Write down the hours you hold, the booking boundaries, and the areas you can use at the same time. Include set-up and takedown. A booking from 5:30 pm to 9:00 pm is not three and a half hours of classes if the mats go down at 5:30.

  2. Classes, groups and coaches

List each class by discipline and group, with its size and coach. A typical gym runs youth fundamentals, teen striking, adult striking, adult grappling, conditioning and a competition team. Note which area each class needs.

  3. Season and competition dates

Put the season start and end on one line, and add the competition dates you know, with the host and venue. Mark the weekends that remove a class or add travel.

  4. Family away dates

Ask for away dates once, with a deadline. A short form works: athlete's name, class, dates away, and whether the absence affects a competition. Close the form and publish the cut-off.

Turn gym hours into class slots

A class slot is the class plus a short changeover. Keep set-up and takedown inside your booking. Run one class per area at a time.

Here is the arithmetic for a typical gym. It is illustrative, not a specific gym.

Turn gym hours into class slots

Monday, Tuesday, Thursday, 5:30–9:00 pm 5:30–5:45 pm 5:45–6:45 pm 6:45–7:45 pm 7:45–8:45 pm 8:45–9:00 pm 2 (mat, bag area) 6

Each slot is a 55-minute class plus a 5-minute changeover. 15 + 60 + 60 + 60 + 15 = 210 minutes, which is exactly 5:30 to 9:00 pm. Three evenings × three slots × two areas = 18 class slots.

Eighteen slots, fifteen used, three spare. Two coaches are needed at the busiest slots.

Illustrative example, not a specific gym. Your booking, areas, class list and coach numbers will be different. The method is the same: count the gym, then count the classes.

Give every class a weekly shape

Give each class the same area and start time every week, and put youth classes first, so families get home sooner.

A typical week might look like this. It is illustrative, not a specific gym.

Give every class a weekly shape
Evening5:45 mat5:45 bag area6:45 mat6:45 bag area7:45 mat7:45 bag area
Monday Youth fundamentals Teen striking Adult grappling Adult striking Competition team Conditioning
Tuesday Spare Teen striking Adult grappling Adult striking Competition team Spare
Thursday Youth fundamentals Spare Adult grappling Adult striking Competition team Conditioning

Count it twice: youth fundamentals 2, teen striking 2, conditioning 2, adult striking 3, adult grappling 3, competition team 3 = 15. Spare: Tuesday 5:45 mat, Tuesday 7:45 bag area and Thursday 5:45 bag area = 3. 15 + 3 = 18.

Two checks make the shape safer:

  1. No athlete in two classes at once. An adult who does both striking and grappling cannot take both at 6:45. If many members want both, move one of them to another slot.
  2. A coach in every area. Monday at 5:45 needs two coaches, one per area.

Competition days are their own calendar

A competition day has a different shape from a class. The host sets the date, venue, weigh-in, check-in and first bout. Many hosts hold the weigh-in the day before; then plan the competition morning back from the host's check-in time.

A workable default when the weigh-in is on the day:

  1. 30 minutes before the weigh-in: arrive, find the team area, check the kit.
  2. 30 minutes for the weigh-in and medical check: the host's queue.
  3. 60 minutes to the first bout: warm-up, the host's running order and the wait.

30 + 30 + 60 = 120 minutes. If the host's pack says something different, the host's pack wins.

Put the competition on the club calendar as an event, not a class. Families need the date, the venue, the weigh-in time and the arrival time.

Today, entries, matching and the bout order stay with the event host or your association. Play 2 Earn Sports keeps the competition on your club calendar and lets coaches list the gym's athletes on a bout card by weight class.

The checks before you publish

Checklist: the checks before you publish

  1. Class by class. No athlete is in two places at once.
  2. Area by area. One class per area at a time, and a coach in every area.
  3. Gym by gym. Set-up and takedown sit inside the booking. Closures and competition weekends are blocked.
  4. Family by family. Away dates are reflected, and the cut-off is clear.
  5. Competition days. Each event has a date, venue, weigh-in time, arrival time and host contact.
  6. One place for changes. Families know where to look.

Then publish once.

How Play 2 Earn Sports supports a Mixed Martial Arts gym

Play 2 Earn Sports is club and league scheduling software for youth and amateur clubs, for 18 sports, including Mixed Martial Arts. For an MMA gym, the useful pieces are:

  • Each class group as a team

Set up youth fundamentals, teen striking, adult striking, adult grappling, conditioning and the competition team as teams in one club account. Six groups fit inside Starter's 10 teams.

  • Practices with a location

Practices are created with a location. Repeating practices are set up through the club's event tools.

  • The gym as a venue

The gym has weekly availability windows, buffers and date-specific exceptions. Clubs can block holidays, closures and competition weekends on their teams and venues.

  • One calendar

The team and club calendar shows games, practices and events on web and phone.

  • Going, Maybe or Can't go

Athletes and parents answer each class or event, and coaches see counts and names. A coach can send one manual in-app reminder per item, at most once every 24 hours.

  • Attendance, separate from RSVPs

Coaches and club staff mark who attended: present, late, absent or excused.

  • Bout card by weight class

For a competition, the lineup builder shows the Mixed Martial Arts lineup as a bout card by weight class.

  • Team chat with safe-sport rules

Each team has Team, Coaches and Parents channels. A private adult-to-minor chat brings a parent or guardian into the conversation until the athlete turns 18. Players under 14 can only message teammates directly. Messages can be reported or blocked.

  • Change notices

When a team event, team game or club game changes, affected families get in-app, email and push notices by default. They can opt out of event email and push.

  • The app from the website

The app installs from the website on iPhone and Android. Tap Turn on notifications to get notices on the phone; on iPhone, add it to the Home Screen first.

Today, entries, matching and the bout order are your event host's process. Play 2 Earn Sports helps you plan the class week and keep competition days clear for families.

Questions

Frequentlyasked questions

Start with the gym hours and the areas you can use at once. List each class by discipline and group, with its coach and the area it needs. Turn each evening into slots, multiply by the areas, then fit the classes in with youth classes first. Keep spare slots, and check that no athlete is in two classes at once before you publish.

Give each discipline the area it needs: grappling on the mat, striking in the bag area, conditioning where there is space. Run one class per area at a time. In the worked example, two areas and three slots on three evenings give eighteen class slots for fifteen classes.

Count the usable minutes after set-up and takedown, divide by the slot length, then multiply by the areas you can run at once and by your evenings. A 5:30–9:00 pm booking gives three one-hour slots; two areas and three evenings make eighteen class slots. Your coach numbers may set a lower limit.

Treat it as an event, not a class. Get the host's date, venue, weigh-in and first-bout time. If the weigh-in is the day before, plan the morning back from the host's check-in. If it is on the day, a workable default is 30 minutes before the weigh-in, 30 minutes for the weigh-in and medical check, then 60 minutes to the first bout.

The lineup builder shows the Mixed Martial Arts lineup as a bout card by weight class, so coaches can list the gym's athletes for a competition. Today, entries, matching and the bout order stay with the event host or your association.
